CMC values a close partnership with families and encourages open communication at all times. Our goal is to Nurture Confidence and Inspire Success in every student. We work collaboratively with parents to support students’ learning, progress, and wellbeing, and ask families to provide information, feedback, and engagement to help us deliver the best possible outcomes.
1.1 By making payment for services at Cherrybrook Maths Coaching (“CMC”), you confirm your agreement with and acceptance of these Terms and Conditions.
2.1 All lessons are held in our class studios located at 8 Nixon Place, Cherrybrook.
3.1 All coaches at CMC undergo extensive training to deliver high-quality teaching aligned with the NSW syllabus and tailored to the individual needs of each student and/or class.
3.2 All staff and coaches aged 18 years and over are required to hold a valid Working with Children Check prior to commencing their role. Staff members under 18 years of age are exempt from this requirement in accordance with applicable legislation.
3.3 Regular meetings are held between coaches to ensure all students are progressing effectively.
3.4 CMC may, from time to time, change or substitute tutors due to circumstances beyond our control, including staff illness or scheduling needs. While every effort is made to maintain tutor consistency, CMC guarantees that all tutors are trained to ensure continuity and quality across the program.
3.5 CMC aims to provide quality mathematics instruction and personalised learning support; however, we do not guarantee specific academic outcomes or examination results. Student performance is influenced by a range of factors beyond our control. We are committed to delivering effective preparation and doing all we can to support each student’s improvement.
4.1 Students must treat all coaches and peers with respect and comply with all reasonable directions from their coach.
4.2 Students are expected to actively participate and engage with all learning material.
4.3 To reinforce learning, students are expected to complete and mark their home learning tasks prior to the next lesson. Parents and guardians are required to review and sign off on the homework tracker to support accountability.
4.4 Students and Parents/Guardians must raise any issues privately and outside of lesson times.
4.5 Mobile phone use during class is discouraged unless expressly permitted by the coach for educational purposes (e.g. accessing solutions or research). Students are expected to remain focused on learning. If a student uses their phone irresponsibly or disruptively, the coach may confiscate it for the duration of the class.
4.6 Breach of conduct or repeated failure to comply with these expectations may result in termination of enrolment, with immediate effect and no refund for any fees paid or payable for the Term.
4.7 CMC reserves the right to immediately remove a student from class if their behaviour endangers or significantly disrupts others.
4.8 Parent Conduct: CMC expects all parents and guardians to communicate respectfully with staff and other families. Abusive, aggressive, or disrespectful behaviour—whether verbal, written, or in person—will not be tolerated. CMC reserves the right to refuse service or terminate enrolment where such behaviour occurs.
5.1 All payments are required in advance.
5.2 Payment options include upfront term payments or payment via instalments.
5.3 Payments made via instalments incurs a $5.00 administration fee per instalment.
5.4 Payment options include credit/debit card and bank transfer. There are no additional fees for paying by card, as these costs are absorbed into the class fee.
5.5 A 5% Sibling Discount applies to each additional child after the eldest.
5.6 In the event that a student enrols in two separate classes, they are eligible for a 5% Discount off both class fees, even if they are the eldest sibling.
5.7 All discounts may be removed or modified at the discretion of CMC Administration.
5.8 Invoices must be paid by the due date specified. Unpaid positions may be forfeited and reallocated to waitlisted students if payment is not received by the invoice due date.
5.9 Any payment received after the due date will incur an automatic $11.00 Late Fee, the amount of which is subject to change at the discretion of CMC.
5.10 CMC reserves the right to suspend attendance until outstanding fees or late payments are resolved.
5.11 Prices are subject to review at the end of each calendar year. Parents will be notified in advance if fee adjustments occur.
5.12 Hourly rates may vary depending on the student’s year stage. Prices are GST-inclusive:
5.13 Class Duration differs based on how long it takes to teach content, provide guided practice, and build strong exam techniques.
6.1 Once enrolled in a class, enrolment automatically continues into Terms 2, 3, and 4 unless written notice of withdrawal is received before the invoice due date for the following term.
6.2 Invoices for Terms 2, 3, and 4 are generally issued during the final two weeks of the preceding term.
6.3 Invoices must be paid by the due date to retain the student’s class position for the following term. Failure to pay by the due date will result in forfeiture of the position, which may then be reallocated to waitlisted students.
Term 1 Enrolments
6.4 For Term 1 enrolments, all classes and timetables reset at the end of each academic year.
6.5 Parents must select and book Term 1 classes via the CMC website plugin from mid-January each year.
6.6 Term 1 enrolments operate on a first-come, first-served basis. Payment secures the student’s position in the class.
6.7 Term 1 fees must be paid for the full term at the time of booking through the Online Payment Link/ gateway
6.8 Families wishing to use bi-term or instalment arrangements must email CMC Administration to request approval. Upon approval, the first invoice will be issued, and payment must be made immediately to secure the position.
6.9 Positions will not be held until payment of the first invoice is received in full.
6.10 Payment of the Term 1 invoice will hold the student’s position for the academic year, unless class changes occur or subsequent invoices remain unpaid by the due date.
6.11 CMC reserves the right to decline re-enrolment for persistent non-payment or breaches of these Terms.
7.1 Lesson cancellations are non-refundable except as required by Australian Consumer Law.
7.2 Make-up lessons are available only if notice is given at least six (6) hours prior to the scheduled lesson via the Teachworks Calendar Portal.
7.3 If a student is unable to attend due to illness but gives notification within 6 hours of the scheduled class, a valid medical certificate must be emailed to the CMC Office within one (1) day of the missed lesson to reinstate the Make-Up lesson.
7.4 A make-up lesson for an approved medical absence will only be arranged upon written confirmation from CMC Administration and must be utilised within four (4) term weeks of the initial absence. Families must not self-book medical make-ups through the Teachworks Calendar without such confirmation.
7.5 Cancellations will only be accepted via the Teachworks Calendar. Cancellations by SMS, phone call, or email will not be accepted.
7.6 Make-up lessons must be utilised within four (4) term weeks of the original lesson date and are subject to availability.
7.7 Make-up lessons may not be carried over to a new school year unless expressly authorised by CMC Administration.
7.8 Make-up lessons are subject to availability and cannot be guaranteed with the same coach.
7.9 Failure to attend a scheduled make-up lesson or insufficient notice forfeits the session.
7.10 If a make-up lesson is booked without an available make-up credit, it will be invoiced pro-rata with no discount applied.
7.11 It is the responsibility of the family to manage cancellations and make-up bookings via the Teachworks Calendar.
7.12 Make-up lessons are a goodwill offer and not an entitlement. Requests submitted after the six (6) hour deadline will not be eligible without a valid medical certificate. Parents or guardians must not contact or pressure staff to request exceptions outside of this policy. Repeated attempts to bypass the policy may result in suspension of make-up privileges or other administrative action, including termination of enrolment at CMC.
7.13 Make-Up lessons are only available to be used by students with an existing enrolment at CMC.
8.1 CMC provides supervision only for the duration of the scheduled class time for which the student is enrolled.
8.2 Parents and guardians must ensure that students are dropped off and collected promptly at the beginning and end of their class.
8.3 Once a class has concluded, CMC is not responsible for supervising the student and does not accept liability for the student’s safety, conduct, or welfare after the scheduled end time, to the maximum extent permitted by law.
8.4 Parents and guardians acknowledge that they remain fully responsible for the student outside of class times, including any period in which the student chooses to wait on the premises before or after their scheduled lesson.
8.5 Nothing in this clause limits any rights, guarantees or remedies available under the Australian Consumer Law; however, families agree that CMC will not be held liable for any loss, injury, or incident occurring after the student’s class has ended, except to the extent such liability cannot be excluded by law.
9.1 In the event that a maths coach is unable to conduct a lesson, a suitable substitute may be arranged.
9.2 CMC will make every reasonable effort to ensure continuity of instruction and lesson quality.
10.1 Students displaying symptoms of illness must remain home.
10.2 Parents must provide at least two (2) hours’ notice if illness prevents attendance.
10.3 A make-up class may be arranged, subject to availability.
10.4 If a student becomes unwell during a lesson, parents will be contacted for immediate pick-up.
11.1 Either party may terminate enrolment with two (2) weeks’ written notice.
11.2 Termination or withdrawal does not relieve the family of any outstanding financial obligations up to the date of termination.
11.3 Upon termination or withdrawal, access to all CMC systems (including the Discord Homework Help channel) will be discontinued.
11.4 If termination is initiated by the client, remaining fees are non-refundable except as required by Australian Consumer Law.
11.4.1 If a family chooses to discontinue lessons for the following term, a minimum of two (2) weeks’ written notice before the end of the current term is required.
11.4.2 Notice must be submitted in writing via email to the CMC Office.
11.4.3 Once a term has commenced, no refunds or credits are provided for partial attendance, or unnotified absences.
11.4.4 Families with extenuating circumstances are encouraged to contact CMC Administration directly for individual consideration.
11.5 If termination is initiated by CMC, prepaid fees for unused lessons will be refunded. Any unused Make-Up lessons will be forfeited and not refunded.
11.6 CMC reserves the right to suspend or terminate a student’s enrolment, at its discretion, for any of the following reasons:
11.6.1 Non-payment of fees or repeated late payment of invoices.
11.6.2 Persistent breaches of CMC’s Terms and Conditions, including attendance, behaviour, or communication policies.
11.6.3 Disruptive or disrespectful behaviour by a student that affects the learning environment or wellbeing of others.
11.6.4 Inappropriate or abusive conduct by a parent, guardian, or family member toward staff, tutors, or other families.
11.6.5 Repeated disregard of parking, safety, or property-use instructions, including complaints from neighbours or Hornsby Shire Council regarding conduct linked to CMC activities.
11.6.6 Misuse of online platforms, including the CMC Discord Homework Help channel, for non-educational, inappropriate, or disrespectful communication.
11.6.7 Any other serious or ongoing issue that, in CMC’s reasonable opinion, compromises the safety, integrity, or smooth operation of the coaching centre.
11.7 CMC will generally provide written notice of concerns and allow families a reasonable opportunity to address them prior to termination, except in cases of serious misconduct or safety risk, where immediate suspension or removal may be necessary.
12.1 Students must bring the following to every class:
(a) Primary: exercise book and writing materials.
(b) High School: exercise book, writing materials, and calculator.
12.2 CMC provides all booklets and learning materials.
12.3 Students are encouraged to bring their own laptop if applicable.
13.1 CMC’s primary mode of communication with families is via email.
13.2 It is the responsibility of each family to ensure CMC has an up-to-date and valid email address.
13.3 CMC accepts no responsibility for missed communications due to outdated or incorrect email addresses.
13.4 Parents are encouraged to communicate scheduling or progress matters via email.
13.5 To speak with a coach, please arrive five (5) minutes before the next class to avoid disruption to the following class.
14.1 CMC respects the privacy of clients. Personal information is used solely for administrative and educational purposes.
15.1 CMC may occasionally take photos for promotional purposes.
15.2 Parents may opt out at any time by notifying CMC via email.
16.1 The CMC Discord Homework Help channel is available exclusively to current CMC students.
16.2 Parents must provide consent via email for their child to join. Access requires a valid student email address, which must be correctly updated under the student’s Teachworks Profile.
16.3 Students can post homework questions directly on the channel. A CMC tutor will either:
(a) ask prompting questions to guide their thinking, or
(b) provide an explanation or solution when appropriate.
16.4 The channel is monitored regularly, but not continuously. Students are expected to post clear, respectful questions.
16.5 Inappropriate messages, spamming, or disrespectful conduct will result in loss of access.
16.6 Parents are encouraged to support their child’s independent learning by allowing them to engage respectfully in this platform.
17.1 To best assist students in preparing for school tests and exams, families are encouraged to:
(a) Provide a copy of the school’s Scope and Sequence at the beginning of the year (either by bringing it in or emailing it to CMC).
(b) Inform CMC of any updates or curriculum changes throughout the school year.
(c) Share upcoming assessment or exam topics as soon as they are released by the school.
17.2 This information allows CMC to tailor lessons and revision effectively to support the student’s specific needs.
17.3 While CMC will make every effort to assist students in preparing for their school assessments, ultimate responsibility for providing this information rests with the family.
18.1 CMC conducts optional holiday workshops during school breaks for revision and enrichment.
18.2 Holiday Workshops are separate programs and not included in regular term enrolment.
18.3 Make-Up credits from term classes cannot be used toward Holiday Workshops.
18.4 Discounts do not apply to Holiday Workshops unless expressly stated by CMC.
18.5 Tutor availability for Holiday Workshops is subject to scheduling and staff availability.
18.6 CMC cannot guarantee that a student’s regular term tutor will be available during Holiday Workshops.
18.7 Workshop bookings are confirmed only upon payment. Spaces are limited and allocated on a first-come, first-served basis.
19.1 All learning materials, content, and resources are the intellectual property of CMC.
19.2 Reproduction or redistribution without written consent is strictly prohibited.
20.1 CMC will not be liable for failure to perform obligations due to events beyond its reasonable control, including natural disasters, pandemics, or other emergencies.
21.1 Any dispute arising under or in connection with this agreement must first be referred to mediation before legal action.
22.1 CMC reserves the right to amend these Terms and Conditions at its discretion.
22.2 Families will be notified of any amendments via email or official correspondence.
22.3 Continued participation after notification constitutes acceptance of the updated Terms.
25.1 Families must adhere to all parking and safety guidelines provided by CMC.
25.2 The driveway at 8 Nixon Place must remain clear at all times. Entry into the driveway is strictly prohibited unless specifically directed by staff for accessibility reasons.
25.3 Parents must not park, stop, or wait across neighbouring driveways, on grass verges, or in any way that obstructs traffic flow or access for residents.
25.4 The cul-de-sac at the end of Nixon Place should be used for turning only. Please avoid double parking or idling for extended periods, especially during peak times.
25.5 For the safety of students and local residents, parents are encouraged to:
(a) Arrive no more than five (5) minutes before class start time.
(b) Supervise younger children at all times when near the road.
(c) Encourage students to enter and exit vehicles promptly.
(d) Be mindful of speed in the residential street, for the safety of all involved.
25.6 Families who repeatedly disregard these parking guidelines may be contacted by CMC Administration and, in serious or repeated cases, may have their enrolment discontinued.
25.7 CMC appreciates the cooperation of all families in maintaining a safe and respectful environment for our students, staff, and neighbours.
26.1 CMC reserves the right to amend these Terms and Conditions with notice to all families. Continued enrolment constitutes acceptance of any updates.
